Part-Time Administrative Assistant

We are actively seeking a dedicated Part-Time Administrative Assistant to become an integral part of our team, providing weekend and evening support to a group of seven clinical therapists spanning across British Columbia (BC) and Manitoba (MB). Our main office is situated in Surrey, BC.

A Child’s Song specializes in offering clinical counseling, parent support, education, and mentoring services to families united through various forms of permanency.


About the Role

As an Administrative Assistant, you will be the initial point of contact for clients entering our office. Your welcoming demeanor and professionalism are essential in shaping our clients' experience with our agency. Your primary responsibilities will include:

  • Warmly welcoming clients and preparing counseling rooms for their sessions.
  • Handling emails and phone inquiries from both clients and potential clients, addressing their queries about our services and operations.
  • Scheduling counseling sessions.
  • Performing basic data entry tasks, creating documents, letters, mail communications.

Your Qualifications and Experience

The ideal candidate should possess the following skills and qualities:

  • Prior administrative experience in an office setting with a strong client focus is an asset but not required. We are most concerned about finding the best fit.
  • Proven ability to multitask and perform effectively under pressure, adept at prioritizing tasks.
  • Proficiency in digital tools, including MS Office and experience with scheduling tools like JANEAPP
  • A deep understanding of confidentiality within the context of a counseling office and a firm commitment to safeguarding client privacy.
  • Exceptional written and verbal communication skills, particularly phone and email communication.
  • Demonstrated problem-solving and conflict resolution capabilities.
  • A calm and customer-oriented approach when interacting with clients and team members alike.
  • The ability to remain composed and resolve issues when working with children and youth clients who may be emotionally dysregulated.
  • Reliability and an understanding of the significance of your role in our mission.
